Description

Under the general direction of the Manager, Contract Administration assists in the marketing and sales of company product line for customer acquisition of aircraft in accordance with company policies and objectives. Responsible for preparing and monitoring commercial contracts to ensure accurate information is provided to production in conformance with the contract and company procedures. Serves as a focal point for Marketing Managers, in-house staff for customer pricing requests, and sales documents.

 

Responsibilities

Prepares customer specific purchase agreements and amendments, to include coordinating pricing, verification of option compatibility, and delivery schedules. Responsible for validity and quality of attachments to purchase agreements. Responsible for receiving deposits and accounting procedures. Coordinates AE acceptance and signature of contracts and distribution of copies to appropriate personnel. Establishes contract in HMS (Helicopter Maintenance System) database, or advises master scheduler of prospect. Maintains database records in sales contract segment. Advises contracts administrator of signed contract or firm booking. Acts as liaison for interchange of information between Sales team and customer from configuration development, and issue of purchase agreement, through delivery of aircraft. Assists customer in configuration definition and quotation, to include every detail of configuration, such as aircraft interior and exterior selections. Responsible for providing customer selection of materials. Supports the delivery process with customer, including preparation of invoices, delivery affidavits, sales tax forms and Registration of Applications, establishment and organization of design review meetings, scheduling training, acquisition of registration number, selection and shipment of publications, and delivery notification to appropriate parties. Initiates pricing action requests for development of cost-of-sales authorizations (CSA). Responsible for preparation of CSA to ensure accurate pricing and submittal to Credit Committee for approval, as required. Maintains file copy of signed, approved CSA. Initiates Manufacturing quotes and facilitates the completion and return to Marketing of completed quote. Reviews and insures accuracy of manufacturing quotes upon return. Establishes and maintains customer contract file, to include all correspondence, sales documents, quotations, cost analyses, and all ISO required documents. Responsible for dispensing and providing historical information to management, as required. Responsible for notifying production and management of developing issues that could affect delivery, sales margin, or customer satisfaction. Responsible for recording and reporting activities in shared database, or other. Establish and maintain contracts in Siebel database. This position is not intended to be all-inclusive and the employee will also perform other tasks as assigned. Requires the ability to communicate effectively with internal and external customers. Able to read and interpret various types of documentation, specifications, and technical data. Requires the ability to compose written documentation, correspondence and reports. Requires the ability to travel away from company site to accomplish assigned tasks. Computer proficiency required, with experience in MS Office, including Word, Excel and Access.

 

Experience

Minimum of three years experience in a marketing and/or sales position requiring customer contact. Aviation background preferred. Prior knowledge of pricing techniques and aviation products. Requires high level of integrity due to competitive financial information involved. Must have ability to produce clear and concise presentation information, and ensure accurate contract documents.

 

Education

BA degree desired in related field, or equivalent work experience preferably in the aviation industry. Additional consideration will be given to advanced training in marketing, product analysis and helicopter applications.
